Privacy policy

How Key Vision collects, uses and protects personal data, in line with UK GDPR and the Data Protection Act 2018.

Who we are

Key Vision is a trading name of Learning Key Training & Consultancy Ltd, a company registered in England & Wales under company number 09823569, with its registered office at 69 Newport Road, Middlesbrough, TS1 1LA. For the purposes of UK data protection law, Learning Key Training & Consultancy Ltd is the data controller for personal data collected through this website and through our services.

What we collect

Enquiry data. When you contact us we collect your name, email address, telephone number, company name where given, site address or postcode, and whatever you tell us about your project.

Support data. If you use the customer support portal we hold your account details and the content of the tickets you raise, including technical information about your systems.

Website data. With your consent we collect analytics information about how the site is used. Essential cookies needed to make the site work are set without consent, as the law permits.

CCTV footage. Where we maintain a CCTV system on your behalf, you remain the data controller for the footage; we act as your processor under a written agreement.

Why we use it and our lawful basis

We use enquiry data to respond to you and to prepare quotations — our lawful basis is taking steps at your request before entering a contract, and our legitimate interest in running the business.

We use support and account data to deliver services you have contracted for — our lawful basis is performance of a contract.

We use analytics data to improve the website — our lawful basis is your consent, which you can withdraw at any time through the cookie settings.

We keep certain records to meet legal obligations, including accounting records and health-and-safety documentation — our lawful basis is compliance with a legal obligation.

Who we share it with

We share personal data with service providers who help us operate: our cloud and email hosting providers, our support portal provider, and our accountants. Each is bound by contract to process data only on our instructions.

We do not sell personal data, and we do not share it for third-party marketing.

[Confirm whether any of these providers process data outside the UK. Where they do, list the safeguards relied on — normally the UK International Data Transfer Addendum or an adequacy decision.]

How long we keep it

Enquiries that do not become projects are kept for 24 months and then deleted. Client records are kept for the life of the contract and for six years afterwards, to meet accounting and limitation requirements. Support tickets are kept for the duration of the support agreement plus 12 months. [Confirm these periods match Key Vision’s actual practice.]

How we protect it

Data is held in encrypted cloud storage with access limited to staff who need it. Support tickets are encrypted in transit and at rest. We review access rights periodically and require multi-factor authentication on our administrative systems.

Your rights

Under UK GDPR you have the right to access the personal data we hold about you, to have inaccurate data corrected, to have data erased in certain circumstances, to restrict or object to processing, and to receive your data in a portable format. Where we rely on consent you may withdraw it at any time.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk, or on 0303 123 1113.

Changes to this policy

We review this policy at least annually and whenever our processing changes materially. The date of the last review is shown at the foot of this page.
